Booking Terms and Conditions (updated 07/10/2011)

Provisional bookings will be held for a period of three weeks after which they will be released unless written confirmation of the booking is received along with a non-refundable or transferrable deposit of £500.00 and a signed copy of the booking Terms and Conditions. This deposit will be credited against the final account. The deposit will not be returned if the client cancels under any circumstances.

Payment
50% of the total estimated invoice is payable 2 months before the event followed by final payment of the remaining balance 21 days before the event. Final numbers attending your event must be given to the Manager a minimum of 21days before the event to facilitate ordering and staffing. These numbers will be used to calculate your final invoice unless more guests attend. Any outstanding additional costs from the day will be invoiced after the event for immediate payment within 7 days.

Cancellation
If you cancel between 2 - 5 months before the event the whole deposit shall be kept and 25% of the estimated total cost using the numbers agreed at the time of booking will be chargeable.
If you cancel less than 2 months before the event the whole deposit shall be kept and 50% of the estimated total cost using the numbers agreed at the time of booking will be chargeable.

Prices at quotation are subject to inflation and government VAT changes before final invoicing.

General Information
Menus displayed are just suggestions and alternative dishes and menus may be chosen subject to your requirements, however this may affect the price per person.

To avoid embarrassment when choosing an evening menu please order and cater for a minimum of 80% of the guests attending.

All events will be charged on the basis of either a buffet or dinner being provided. In the event that an event is held without a buffet or dinner being provided a room hire cost will be charged. In the event of minimum numbers not being achieved for a catered function, an additional charge will be applicable. This will be at the discretion of the Manager

Bar
Alford Manor House offers an alcohol licence until 23:00 hours. The Manor House itself has a premises license until 01:00 hours. An alcohol licence extension until 24:00 hours may be requested at a charge of £100.00 per extension.

When a bar is provided it is not permissible to bring your own or another supplier’s drinks on to the premises.

Music / Entertainment
Please note the marquee is only licensed for 3 live bands with a drum kit per calendar year: this live music must conclude by 22:00 hours. A disco, live (without drums) or amplified sound in the marquee must conclude at 23:00 hours. Music noise levels are set in conjunction with East Lindsey District Council Sound Officers and all amplification must be plugged into the Manor House sound limiting equipment at all times. The management reserve the right to control any music played and the decision of the Duty Manager is final. Any band/disco/entertainment refusing to comply with the system levels will be asked to stop playing and leave the premises. We strongly advise you to use the in-house disco to avoid any problems regarding sound levels, PAT testing and insurance.

Any hire (and related insurance issues) of inflatable equipment, outside caterers or additional services which are not provided by Alford & District Civic Trust Ltd or staff of Alford Manor House are your sole responsibility. Alford Manor House cannot be held responsible for any theft or damage to equipment or personal items or individuals whilst they are on site.

It is not permissible for you to use any naked flames/candles or items such as Chinese Lanterns on the Alford Manor House site due to the close proximity of the thatched roof.

The car park will be locked from 01:30 hours to 12:00 hours on Sundays following a Saturday event (see Manor House brochure for seasonal opening times).

In the event of damage or destruction beyond the control of the management, Alford Manor House will make every effort to find a suitable alternative venue but cannot be held responsible for any additional costs incurred. It is suggested that the clients take out Wedding Insurance.

You shall be held responsible for any damage caused to Alford Manor House, its buildings or contents by the wilful act or default of you or your guests.

A booking may be cancelled at any time by the management, should the event be considered to be damaging to the reputation of Alford Manor House.

The Terms and Conditions set out herein shall be the Terms and Conditions agreed and accepted by both parties to the contract.
